GoFuel: fuel card refuellings

GoFuel compares every fuel card refuelling with where the vehicle was at that moment. You can see the distance to the station, what was bought and for how much. It reads Alexela, Neste and Olerex data.

A fuel card shows that a refuelling took place. Which vehicle the fuel went into - that it does not show.

So we built GoFuel - an application that compares every refuelling with where the vehicle was at that moment. It opens in the tracking system from the applications menu, nothing needs to be installed.

About the illustrations.

All screenshots are taken on the demonstration page. Vehicle numbers, driver names, card numbers and station positions on the map are fictional, any resemblance is coincidental.

📋All refuellings on one screen

One row is one transaction. Date and time, vehicle, network, card number and name, station and product. Then the quantity, the amount without value added tax, the tax itself and the total. On the right the result of the check and the distance.

Above the table there is a line of remarks. How many cards produced no refuellings at all and how many vehicles have no card entered.

🗺Checking by position

Every refuelling has a result. «Confirmed» means the vehicle was within a hundred metres of the station at the time of the transaction. «Doubtful» means the vehicle was further away. There are two more outcomes: the station has no coordinates, or the vehicle was not reporting its position at that time.

Clicking a row opens a map with the two points and the distance between them.

🚫What the check does not prove

«Doubtful» does not mean a violation. The device may have sent its position late, and by the time the data arrived the vehicle had already left. That is why the map shows not only the metres but also the time to the nearest message. If the nearest point is a quarter of an hour away, a distance of two kilometres explains itself.

The opposite is true as well. A refuelling can be confirmed by distance and still be the wrong one: the vehicle stood at the station while the fuel went into a canister. The application compares place and time, it does not see the contents of the tank. If the vehicle has a fuel level sensor or a connected CAN bus, the rise of the level in the tank is checked separately, with the tools of the tracking system itself.

Quantity by product

A fuel card buys more than litres of fuel: AdBlue in bulk and in canisters, windscreen washer fluid, electric vehicle charging. The units differ, so in the totals the quantity is broken down by product while the money is brought together into one sum.

Every network names its products in its own way, for example: diesel is Diislikütus at Olerex, D at Alexela and Futura D at Neste. The application shows them exactly as the network sent them.

If only diesel is needed, products are ticked in the panel. The selection is remembered and stays until the next session.

💳Card overview

A separate window shows the cards rather than the refuellings. Which numbers are recorded for each vehicle, how many refuellings went through them in the period and when the last one was.

Vehicles with remarks are at the top of the list. Yellow marks a card that produced no refuellings at all over the whole export period: most often the number has a mistake in it. Pink marks a number recorded for two vehicles at once: until it is corrected, its refuellings are not attached to either of them.

The same window has a search by vehicle and by card number. It filters rows as you type. The number can be entered in full or by its tail, with or without spaces. The Excel button saves the list exactly as it is on the screen.

What is needed to make it work

The application reads Alexela, Neste and Olerex data. We know Neste stations outside Estonia too: Latvia, Lithuania, Finland. Talks with Circle K are under way.

The application takes vehicle positions from our tracking system, so nothing needs to be installed on the vehicles themselves. Data arrives once a day, at night: a refuelling made today appears in the application tomorrow.

  1. Write to us that you would like to use GoFuel, and tell us whose cards you use.
  2. Open access to your data at the fuel network and let us know. At Olerex this is done in self service. At Alexela the identifier and the key are taken in the same place and need to be sent to us. With Neste a data transfer service contract is signed, with a monthly fee according to their price list.
  3. Send us the list of cards: the card number, the network and the vehicle the card belongs to.
  4. The rest is on our side: we set up the export, enter the cards and check that everything works, after which we open access to the application.
